Job Description: We are seeking a dynamic and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing office operations, supporting our financial systems, and ensuring a smooth workflow within the office. Key Responsibilities:

  • Oversee day-to-day office operations, including answering phones, scheduling appointments, and greeting clients.
  • Assist with client communications, including emails, phone calls, and follow-ups.
  • Prepare and organize client files, ensuring all documentation is accurate and up-to-date.
  • Support financial systems with administrative tasks such as data entry, report generation, and document preparation.
  • Administer accounts receivable, including customer invoices, payments, and bank deposits.
  • Administer accounts payable, including company expenses and bill payments.
  • Assist with company financial reconciliations on a weekly, monthly, quarterly, and annual basis.
  • Coordinate meetings and events, including booking venues and arranging catering.
  • Maintain office supplies and equipment, ensuring everything is in stock and working order.
  • Sustain polished and well-kept office space, including kitchenette and other common areas.
  • Handle confidential information with discretion and professionalism.
  • Perform other administrative duties as needed to support the team.

  • Strong organizational and multitasking abilities to executive office tasks efficiently.
  • Excellent verbal and written communication skills to interact effectively with colleagues, clients, and vendors.
  • Ability to work independently or collaborate amongst a team.
  • Proficient with productivity tools including the Microsoft Office and Gmail Suites; must be comfortable working with spreadsheets.
  • Strong interpersonal skills to build positive relationships within the team and with clients.
  • Able to identify and resolve issues or problems promptly and effectively.
  • Capable of handling sensitive information with discretion and preserving confidentiality.
  • Attentive to detail to ensure accuracy in tasks such as data entry, scheduling, and document preparation.
  • Adaptive and flexible to changing priorities and business needs.
